How to run white label reputation management for clients
Why reputation management sells
For a multi-location business, reviews are the most visible part of their Google presence and the hardest to keep up with. A chain with 60 locations can receive thousands of reviews a year in several languages. Most never get a reply.
That makes reputation management one of the easiest services for an agency to sell: the problem is visible, the work is recurring, and the results show up in ratings and reply rates.
Set up a reply policy per client
Before automating anything, agree a reply policy with the client. A good default:
- 5★ reviews with text: personalised AI reply within hours
- 4–5★ reviews without text: short template thank-you
- 1–3★ reviews: assigned to a named person, replied manually within one business day
- Reviews mentioning safety, legal or staff issues: escalated, never auto-replied
Use AI carefully
AI replies are only as good as the prompt. Write a system prompt per client that sets tone, sign-off and what never to promise. MapFlow sends every reply in the reviewer's language and lets your team edit before publishing, while auto-reply rules handle the routine cases.
Report outcomes, not activity
Clients care about rating trends, reply rate, response time and what customers are saying. Show those monthly in a branded report, with topic sentiment to point at operational fixes.
